We are currently looking for an Executive Administrative Assistant for our Aliquippa location.

Essential Functions:  

  • Organize, maintain, and manage the Administrative/Executive Offices.
  • Manage the Executive Offices, including maintaining equipment and troubleshooting problems i.e. phones, computers, equipment, and building which requires working with the landlord and considerable independent judgment.
  • Independently maintain/update administrative manuals for administrative and licensing purposes.
  • Handle all routine filing and correspondence for the President/CEO.
  • Prepare letters, reports, and other documents as assigned for the President/CEO and as requested by other administrative staff and departments, which include Executive Management, Development, Government Relations, PR, and Research.
  • Screen phone calls for President/CEO and Medical Director Emeritus.
  • Coordinate Board of Directors/Board Committee meetings, which includes coordination and preparation of materials, and meeting location, both onsite and off, which requires considerable independent judgment.
  • Coordinate and host special projects, such as special meetings of the Board, Executive Management, and other administrative staff, which includes coordination of multiple schedules, and coordination and preparation of materials, and meeting location, both onsite and off, which requires considerable independent judgment.
  • Coordinate special events i.e. the staff Holiday Party which requires considerable independent judgment.

 

Additional Duties:

  • Host visitors and provide information about GRC to callers and visitors.
  • Assist in special projects as necessary.
  • Keep informed about the Center’s activities and programs.
  • Perform related work as required.
  • Coordinate conference registrations, airline reservations, and hotel reservations for President/CEO, other administrative staff, and guest speakers.
  • Coordinate EMPC and Long-Range Planning meetings, which includes coordination of multiple schedules, and coordination and preparation of materials, and meeting location, both onsite and off, which requires considerable independent judgment; attends when required.
  • Prepare and keep current the operations manual for this position.

 

Qualifying Education, Experience and Skill Requirements:

  • Post-high school secretarial training or college graduate preferred.
  • Word processing and database competency.
  • Transcription competency.
  • PowerPoint competency.
  • Excel competency.
  • Superior communication skills, both verbal and written.
